Institut V Esthétique takes the protection of your personal information seriously. This policy explains what information we collect, why, how we use it and what your rights are. It is drafted in line with Quebec's Act respecting the protection of personal information in the private sector, as amended by Law 25, and with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

We collect only the information needed for our services. Depending on how you interact with us, this may include:

• Your name, phone number and email address, when you fill in our contact form or book an appointment.
• Information related to your appointment, when you book online through our Square booking system (chosen service and date).
• Relevant health information for esthetic treatments (allergies, skin conditions, medication).
• Technical and browsing data (pages viewed, device type, visit source), collected through an audience analytics tool to understand how the site is used.
• Data about phone calls placed from the site, collected through a call measurement tool that displays a dynamic phone number.
• The content you send us if you use the site's chat window.

Your information is used for the following purposes and for no other without your consent:

• Scheduling, confirming and following up on your appointments.
• Providing the esthetic treatments you request.
• Answering your questions and communicating with you about our services.
• Sending you offers and promotions, only if you have consented to receive them.
• Understanding how the site is used and improving the experience.
• Meeting our legal and tax obligations.

By filling in a form, booking an appointment or contacting us, you consent to the collection and use of your information for the purposes described above. You may withdraw your consent at any time, in particular for promotional messages, by writing to [email protected]. Withdrawing consent may limit our ability to provide certain services. For minors under 14, consent must be obtained from the holder of parental authority.

6. Service providers and hosting outside Quebec

We rely on service providers that process some information on our behalf, in the strict measure needed to provide our services:

• Square: used for online appointment management and payment processing, in accordance with PCI DSS standards and its own privacy policy.
• Tawk.to: used for the live chat service on our site. Chat messages are stored securely and used only to answer your requests.
• PostHog: used for cookieless web analytics. Only anonymized and aggregated data is collected.
• WhatConverts: used to measure phone calls placed from the site through a dynamic phone number.

Some of these providers may store information on servers located outside Quebec, including in the United States. In that case, we take reasonable steps to ensure your information receives adequate protection. We do not sell, trade or rent your personal information.

7. Retention period

We keep your information for as long as it is needed for the purposes for which it was collected, and for the period required by our legal and tax obligations. Client records related to esthetic treatments are kept for five (5) years after the last visit, unless a different legal obligation applies. Once those periods have passed, your information is securely destroyed or irreversibly anonymized.

8. Your rights

Under Law 25 and applicable privacy legislation in Quebec and Canada, you have the following rights:

• The right to access the information we hold about you.
• The right to have inaccurate, incomplete or ambiguous information corrected.
• The right to request the deletion of your personal information when it is no longer needed for the purposes for which it was collected.
• The right to de-indexing of links attached to your name.
• The right to request your computerized information in a structured, commonly used technological format (portability).
• The right to withdraw your consent to the collection or use of your information at any time.

9. Security measures

We put reasonable measures in place, adapted to the sensitivity of the information we hold, to protect your information against loss, unauthorized access, disclosure or use. Access to information is limited to the people who need it to do their work. In the event of a confidentiality incident that presents a risk of serious harm, we will notify the persons concerned and the Commission d'accès à l'information du Québec in accordance with Law 25.

10. Cookies

Our site uses strictly necessary technical cookies to work properly, and cookieless analytics to measure its audience. You can set your browser to refuse cookies, but some features of the site may then be limited.

We may update this policy to reflect a change in our practices or in the law. The version in force is the one published on this page, along with its update date. Significant changes will be announced on our website.
